KVKK Information Notice

1. Data controller

Referred to as “BVT” in this text.

2. Personal data processed

• Identity and contact information: full name, email address, phone number, institution or company name.
• Request information: project type, square metres, the product group and collection you are interested in, and the content you write in the message field.
• Request source information: campaign (UTM) parameters showing which advertisement, link or campaign the request came through, if present in the link.
• Transaction security information: the IP address from which the form was submitted and the submission time.

No special categories of personal data are requested in the form. We kindly ask that you do not write special categories of data such as health, religion or criminal convictions in the message field.

3. Purposes of processing personal data

• Assessing your quote, sample and project requests, replying to you and preparing quotes,
• Conducting communication about your request and sending an automatic email confirming that your request was received,
• Assessing which communication channel requests come from,
• Preventing misuse of the form (spam, automated submissions) and ensuring information security.

4. Legal bases

Your personal data is processed under Article 5/2 of the KVKK on the legal bases that (c) it is directly related to the establishment or performance of a contract (the quote and preliminary discussion process) and (f) processing is necessary for the legitimate interests of the data controller, provided that it does not harm your fundamental rights and freedoms (responding to the request, form security, assessing the source of the request).

The checkbox on the form is only to confirm that you have read this notice; it does not mean explicit consent to the processing of your personal data.

5. Method of collection

Data is collected electronically through the forms on the website, submitted directly by you. The IP address and submission time are recorded automatically by the server when the form is submitted.

6. Transfer of data

The form content is sent by email to BVT's corporate email service. This service is provided by Google Workspace (Google LLC) and its servers may be located abroad. For this reason, your personal data may be transferred abroad in accordance with the conditions set out in Article 9 of the KVKK (an adequacy decision or the provision of appropriate safeguards).

The website is hosted on servers provided by Domain Hizmetleri (domainhizmetleri.com).

Other than this, your personal data is not shared with third parties; it may only be shared within the framework of the relevant legislation upon the request of public institutions and organisations authorised by law.

7. Retention period

Your personal data is retained for as long as the purpose of processing requires, and limited to the limitation periods set out in the relevant legislation. At the end of this period your data is deleted, destroyed or anonymised.

8. Rights of the data subject

Under Article 11 of the KVKK, you may exercise the following rights by applying to BVT:

• To learn whether your personal data is being processed,
• To request information about it if it has been processed,
• To learn the purpose of processing and whether it is used in line with that purpose,
• To know the third parties to whom data is transferred, within the country or abroad,
• To request correction if it has been processed incompletely or incorrectly,
• To request deletion or destruction within the framework of the conditions set out in Article 7 of the KVKK,
• To request that correction, deletion and destruction operations be notified to third parties to whom the data has been transferred,
• To object to a result against you arising from the analysis of the processed data exclusively by automated systems,
• To request compensation for damages if you suffer harm due to unlawful processing.

9. Method of application

You can submit your requests by a petition containing information identifying you and explaining your request, through the following channels:

• In writing, with a wet-signed petition, delivered by hand to the address above or via a notary or registered mail with acknowledgement of receipt,
• By email to info@bvt.com.tr. For email applications, in order for your identity to be verified, the application must be signed with a secure electronic signature or mobile signature, or sent from the email address you previously notified to BVT.

Your application is concluded free of charge within thirty days at the latest, depending on the nature of the request. If the process requires an additional cost, a fee may be charged according to the tariff set by the Personal Data Protection Board.

If your application is rejected, you find the response insufficient or no response is given in time, you have the right to lodge a complaint with the Personal Data Protection Board within thirty days of learning the response and in any case within sixty days of the application date.
